Hire Terms

Last updated: August 28, 2026

Draft — pending legal review. These terms describe how this business intends to operate and how its systems actually bill, but they have not been reviewed by a lawyer and should not be relied on as a binding contract until they have been.

1. What these terms cover

These terms apply to every piece of equipment hired from KKRental (“we”, “us”). They form part of your rental contract. The person or business named on the contract (“you”) is responsible for the equipment and for everyone who operates it, whether or not they work for you.

A booking paid for on this website is a booking. When you complete checkout and your card is charged, the equipment is reserved for the dates shown and a contract is issued to you by email. You do not need to hear from us first.

Everything else is an enquiry until we confirm it. If you ask us for equipment by phone or email, nothing is reserved until we say so and issue a contract.

2. How hire time is charged

Hire is charged by the day, and the day a machine comes back is a charged day. A unit collected on Monday and returned on Tuesday is a two-day hire. A unit out and back on the same day is one day.

Each category has a day, week and month rate. A week rate covers seven days and a month rate covers twenty-eight, and neither is applied to a shorter hire: six days is six days at the day rate, and twenty-seven days cannot be billed as a month.

You are never charged more than a longer hire would cost. Where the longer period is cheaper we bill that instead and say so on your quote — a six-day hire is charged as seven days when the week rate is lower than six days at the day rate. A calendar month is normally billed as one month plus the extra days.

Some categories carry a minimum hire period. Where one applies, that minimum is charged even if the equipment is returned sooner.

3. Late returns

Equipment is due back on the date shown on your contract. If it is returned later, the hire is re-priced to the actual return date and the difference is invoiced. Because rates are tiered, running a few days over can move a hire into the next rate band.

If you need the equipment for longer, tell us before the due date. We will extend the contract where we can — and if the extension falls inside a rate you have already paid for, it costs nothing extra.

4. Deposits and payment

We may take a refundable security deposit as a hold on your card before equipment leaves the yard. A hold reserves funds; it is not a charge. It is released automatically a set period after the equipment is returned, or sooner if we release it manually. If a contract is cancelled, any active hold is released in full.

Where equipment is returned damaged, we may retain part of the deposit against the cost of repair. You will be told what was retained and why, and the balance is released to you.

Invoices are due on the terms stated on the invoice. Sales tax is added where applicable.

5. Damage waiver

You may accept an optional damage waiver, charged as a percentage of the rental charge. It limits your liability for accidental damage to the equipment during the hire.

The waiver does not cover:

• loss or theft of the equipment, or failure to return it

• damage caused by misuse, overloading, or operating outside the manufacturer’s instructions

• damage caused by an operator who is untrained, uncertified where certification is required, or impaired

• damage caused deliberately or by gross negligence

• missing or damaged attachments, keys, manuals and ancillary items

• cleaning, fuel and consumables

If you decline the waiver, you are responsible for the full cost of repair or replacement. Declining is recorded on your contract.

6. Your responsibilities while the equipment is with you

• Use the equipment only for its intended purpose, and only at the site recorded on the contract unless we agree otherwise.

• Ensure every operator is competent, and holds any certification the equipment requires.

• Do not sub-hire, lend, sell, or part with possession of the equipment.

• Keep the equipment secure, and report theft to the police and to us immediately.

• Carry out routine daily checks — fluids, tyres, guards, safety devices — and stop using the equipment if a fault appears.

• Report any breakdown, damage or incident to us as soon as it happens. Do not attempt your own repairs.

• Allow us reasonable access to inspect, service or recover the equipment.

7. Condition on return

Equipment must come back in the condition it went out, allowing for fair wear and tear, and with the same attachments and accessories. It is inspected on return.

Fuel-powered equipment goes out fuelled and should come back fuelled. Equipment returned dirty, unfuelled, or with missing items may attract a cleaning, refuelling or replacement charge, which will be itemised.

8. Delivery, collection and site access

Where we deliver, the charges are shown on your contract. You are responsible for ensuring the site is safe and reachable, that there is somewhere suitable to unload, and that someone authorised is present to receive the equipment.

If a delivery or collection cannot be completed because the site is inaccessible or nobody is available, a further charge may apply for the wasted journey.

9. Breakdown

If equipment fails through no fault of yours, tell us and stop using it. We will repair or replace it as quickly as we reasonably can, and we will not charge for hire time lost to a fault that was ours.

We are not liable for loss of profit, loss of contract, delay to your works, or other indirect losses arising from a breakdown.

10. Cancelling a booking

Tell us as early as you can if you no longer need equipment you have booked. The earlier you tell us, the more likely we are to re-let the machine, which is what the scale below reflects.

Cancelling a booking that has been paid for:

• More than 48 hours before the hire starts — cancelled in full and refunded in full.

• Between 24 and 48 hours before — refunded in full except one day’s hire on each machine.

• Less than 24 hours before, or on the day — refunded except one day’s hire on each machine and any delivery charge, whether or not the lorry has left.

• After the equipment has been collected or delivered — this is an early return rather than a cancellation, and section 2 applies: you are charged for the days the machine was with you.

Where we cancel — a machine breaks down before it reaches you, or we cannot supply what you booked — you are refunded in full, including any delivery charge, whatever the notice.

A damage deposit is never kept on a cancellation. It is refunded with everything else.

11. Refunds

Refunds go back to the card that paid, and we cannot send them anywhere else — that is a rule of the card networks rather than ours. Expect the money to reach you within five to ten working days of us processing it, depending on your bank.

If a payment fails part-way through checkout, nothing is charged and the equipment is released again automatically. If you see a pending amount on your card after a failed booking, it is an authorisation rather than a charge and your bank will drop it, usually within a few days.

Where a hire is shortened, over-charged, or a machine turns out to be unusable through no fault of yours, tell us and we will put it right against the original payment. We would always rather correct an invoice than argue about one.

12. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, or for anything else that cannot lawfully be limited.

Beyond that, our liability in connection with any hire is limited to the charges paid for that hire. You are responsible for the safe use of the equipment while it is in your possession, and for any loss or damage it causes to people or property during that time.

13. Talking to us

Questions about a hire, an invoice, or these terms should come to us directly on (806) 231-4354 or at rentals@kkrental.com. We would always rather sort something out early than argue about it later.
